ASIS Puget Sound Sponsor Vendor Participation Terms and Conditions

 Vendor Sponsorship Agreement

Please read the following terms and conditions:

  1. Exclusive Sponsorship
    • Vendor sponsorship is strictly individual and non-transferable
    • Sponsorship tables, benefits, and privileges may not be shared, traded, assigned, sub-licensed, or redistributed to any other vendor, company, or individual not formally registered as part of the sponsoring vendor’s organization.
  2. Client Invitation Policy
    • Vendors may invite their own clients to attend the event.
    • All invited clients must comply with event registration, check-in, security, and identification requirements.
    • Any invited client found soliciting or representing themselves as an independent vendor—or promoting any company other than the sponsoring vendor—will be asked to leave the venue immediately. 
  3. Confidentiality and Exclusivity
    • Sponsored Vendor agrees not to:
      • Share their assigned table, booth space, or sponsorship benefits with any other vendor or third party.
      • Redistribute event-provided resources, materials, digital access, or credentials to individuals outside their organization.
      • Engage in any activity that compromises the exclusive, individual nature of the sponsorship or interferes with other sponsors’ rights.
  4. Food and Catering
    • Vendor-invited clients may receive event catering subject to the following conditions:
      • All clients must be pre-registered.
      • For paid events, vendors may be limited to a specified number of complimentary client invitations.
      • Additional guest fees may apply for any clients exceeding the allotted number.
  5. Compliance with Event Policies
    • Vendors and their invited clients must comply with all event rules, venue policies, safety regulations, and staff instructions.
    • Any conduct deemed disruptive, unsafe, or in violation of event guidelines may result in removal from the event.
  6. Liability and Indemnification
    • The event organizers are not liable for any loss, damage, injury, or expenses incurred by the vendor or its guests during the event.
    • The vendor agrees to indemnify and hold harmless the event organizers, staff, and venue from any claims arising from the vendor’s participation or the actions of the vendor’s invited guests.
  7. Cancellation and Refund Policy
    • Sponsorship fees are non-refundable unless otherwise stated in writing by event organizers.
    • If the vendor violates any portion of this agreement, removal from the event will occur without refund.
